PortMaster is the Digital Port Waste Management turning waste compliance into a strategic asset. You can automate the waste notification, handling, and documentation process for complete traceability, regulatory alignment, and operational transparency.

PortMaster: Digital port waste management solution

PortMaster meets the shipping industry's urgent requirements for smarter solutions for compliance under MARPOL and the EU Port Reception Facilities Directive (EU 2019/883). Note: Find the Icelandic regulation on management of ship waste here (in Icelandic).

PortMaster functions and workflow automation:

At the heart of the system is a robust integration with SafeSeaNet (Europe’s central maritime information exchange system), allowing the platform to automatically retrieve and process vessel-related information – connecting ships, agents, waste collectors, and port authorities in real time.

This instant verification loop ensures smooth port clearance, eliminates paperwork errors, and supports real-time compliance tracking.

Note: This streamlined workflow eliminates redundancy, reduces delays, and allows stakeholders to plan resources more effectively.

Introducing the structure and features of PortMaster

First login

  1. To access the PortMaster on the Klappir Platform you login to your Klappir account at platform.klappir.io

  2. Head to the dropdown menu in Klappir Platform on the top right corner and select PortMaster

First look into your PortMaster

How you use PortMaster depends entirely on wether you are managing waste for as Ports, Service Providers, or Agents.

In the PortMaster Home Screen, you will see two main features: Deliveries and Alerts


Deliveries

A delivery in PortMaster refers to the actual waste discharge performed by the service provider after receiving an order from an agent or a port.

Deliveries involve three core steps:

  1. Either your can forward data in from SafeSeaNet, or the agent/port submits a new waste order in the New Order function (a waste order is the initial order a vessel submits before arriving at port, describing:

    1. The Discharge Type

    2. Discharge Facility information

    3. Ship information

    4. Garbage Discharge (m³). Note: m³ is a mandatory unit of measure for garbage discharge.

    5. (It is the starting point for all PortMaster waste-handling workflows – orders, deliveries, receipts, alerts)

  2. The service provider collects the waste

  3. The service provider issues a receipt in the New Receipt function confirming the delivered quantities

Alerts:

Alerts in PortMaster exist to automatically detect and notify all stakeholders about regulatory, data-quality, or operational issues related to waste delivery notifications. They are generated and sent out to your Klappir system when something in the vessel’s report, storage capacity, or disposal behavior does not meet required conditions.

Note: They are now also sent out directly by email to notify all the relevant stakeholder.

Alerts types

PM001

PortMaster automatically sends a notification to the registered email address of the notifier, with a copy to the Icelandic Transport Authority (port state control) and the Environmental Agency of Iceland, stating that the amount of waste delivered ashore does not match the incoming discharge notification and that a correction is requested.

Common errors: Missing reception information from all service providers that are not using PortMaster. Forgot to fill in all categories in SSN

Solution: Fill in SSN correctly. Service providers confirm quantities according to their own measurements.

PM002

PortMaster automatically sends a notification to the registered email address of the notifier if the next port is unknown (ZZUKN), requesting that the vessel discharges all waste.

Common error: This is very often missing and will cause most errors

Solution: Ensure that the next port is defined in SSN

PM003

PortMaster sends a warning if the storage capacity is not considered sufficient until the next port, taking into account the waste to be retained and the available storage space. If the capacity is below the threshold, PortMaster automatically sends a notification to the registered email address of the notifier, with a copy to the Icelandic Transport Authority (port state control) and the Environmental Agency of Iceland. If a warning is generated in the system, it is sent to the email address specified in the SSN report.

Common error: Unverified / not checked

Solution: Enter the correct tolerance (UOS).

Note: A definition must be established, in cooperation with the supervisory authorities, of what constitutes acceptable storage capacity on board. This concerns the amount of waste and cargo residues on board versus the storage capacity on board.
